Knowledge Base & Self-Service

A chatbot without knowledge guesses. With great conviction.

Writing and structuring help content, setting up help centre and portal and designing self-service flows. The result is a maintained knowledge base and measured self-service usage.

Usual

What you often get

A help centre built on the questions the team imagined, not the ones people actually ask. Search finds nothing, articles are out of date, and the chatbot answers everything with something. In the end, customers call anyway, just more annoyed.

IntoOps

What you get from us

We write about what your customers really ask, based on tickets and search terms. Every article has a review date and a clear owner. And a chatbot only draws on checked content, set up with our specialists in AI solutions.

Service components

4 components. Each one available on its own.

  1. Knowledge base & FAQ

  2. Help centre & customer portal

  3. Self-service journeys

  4. Agent knowledge management

What you'll have at the end. Results you can check.

  • An analysis of which issues come up most often and which people can solve themselves.
  • Help articles in plain language, with steps, images and links to follow-up questions.
  • A configured help centre with search, categories and a contact route when answers run out.
  • Ready-made click paths for returns, address changes or rescheduling, without calling support.
  • Usage metrics: searches without results, issues solved, contacts despite the help page.

When you need this. And how you'll know.

  • A large share of enquiries is about delivery status, passwords or returns.
  • Your help page exists, but customers still call.
  • A chatbot is planned, and it's unclear where its knowledge will come from.
  • New people in your service team need weeks to learn the answers.
  • Everyone on the team answers the same question slightly differently.

Rarely alone. Never bundled.

Good questions. Straight answers.

Do the help articles come from you?

Yes, for the most part. They're based on your tickets and conversations with your support team, not a list of questions dreamt up at a desk. Your team checks that everything is correct, and if you like, we keep the content up to date afterwards.

Does self-service replace our support team?

No. It takes the routine off their hands, so there's time for difficult cases. For everything else, every help page leads to a person, on your team or in our customer support team.

Will you build us a chatbot?

Yes, once the knowledge is in place. A chatbot is only as good as the content it answers from. So the articles come first, then the bot, and whatever it can't answer reliably goes to a person.

Can we keep our existing help centre?

Usually, yes. What's missing is often not the system but structure and upkeep. If it isn't enough, our web development team sets up a new one, as part of your website if you like.

Proof first. Contract second.

In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.

No obligation. And if we're not the right fit, we'll tell you.
