Improving customer service
Answering faster is good. Being asked less is better.
Faster, better and more efficient service: setup, channels, complaints, self-service, quality, tools and team.
The situation
“Our customers wait too long and complain too often.”
The phone never stops, the inbox overflows, and the same questions come in every day:
- Where's my order?
- How do returns work?
- Why does the invoice look different?
Your service team is working flat out and has hardly any time for the difficult cases. And many customers explain their issue twice because nobody can see the history.
Where it often goes wrong.
-
More staff as the only answer
Extra people shorten the queue until volume grows again. If you don't know why customers get in touch, you pay for every avoidable contact.
-
A chatbot fronting the chaos
A chatbot without up-to-date knowledge answers quickly and wrongly. Then customers call anyway, only angrier.
-
Complaints end in a ticket
The case is solved, the ticket closed. Neither product nor logistics hears that the same cause creates new enquiries every day.
-
Metrics that reward the wrong thing
Measure only call length, and you get short calls. That doesn't mean the issues are resolved.
-
Service as a mere cost centre
Run service purely as a cost centre, and training and tools are the first things cut. The bill comes later, as cancellations nobody links to service.
Which disciplines work together here.
4 of 13 disciplines, one team, one point of contact. Every service has a clear role, and you decide which ones we take on.
-

-
Coordinates repairs, spare parts and on-site visits with service partners from our network.
-
-
D05 Operations & Fulfilment

-
-
D09 IT & Digital
-

-
Pre-sorts enquiries and suggests answers to the team, which a person then approves.
-
-
D08 HR & Recruiting
-
Trains the service team in product knowledge, conversation skills and de-escalation.
-
You decide the scope.
Many start with a diagnosis: why do customers get in touch, and what does it cost? Others hand us just the peaks, such as weekend chat.
Or you let us run your entire support permanently, with fixed service levels and regular reports.
Good questions. Straight answers.
Do you also tackle causes outside customer service?
Yes, and that's often where the biggest lever is. Many enquiries originate in logistics, billing or the product itself.
We trace them back and solve them with the disciplines responsible, for example in returns management.
Will our customers only get a chatbot then?
No. A chatbot works for simple, frequent questions. Complaints, special cases and annoyed people still need a team.
What matters with AI in service is covered under Introducing AI.
Do you measure whether things really improve?
Yes. Before we start, we agree how you'll recognise progress: response time, resolution at first contact, satisfaction.
We report these figures regularly, even when they occasionally move in the wrong direction.
Will you answer in our name?
Yes, if you want us to. Then your tone, your templates and your goodwill rules apply.
Anything outside those rules goes back to your team. We don't decide it on our own.
Do you handle enquiries in other languages too?
Yes. Besides German and English, we agree further languages based on what your customers need.
The same templates and goodwill rules apply in every language. So the answer doesn't depend on who asks in which language.
Proof first. Contract second.
In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.
No obligation. And if we're not the right fit, we'll tell you.
