Returns Management

Every return tells you what went wrong. If anyone listens.

Designing and running the returns process across customer service and warehouse, and reducing avoidable returns. The result is returns processed within agreed times and documented return reasons.

Usual

What you often get

Returns land in the warehouse, get unpacked at some point and are booked back into stock or written off. Customers type a reason into a free-text field, and nobody analyses it. Customer service only learns the status when someone asks about their refund.

IntoOps

What you get from us

We design the whole return flow as one process, from authorisation to the decision on the goods. The work on each parcel is done by a partner warehouse from our network or by your own. Inspection follows criteria we set with you.

And the reasons turn into actions for product, description and packaging.

Service components

5 components. Each one available on its own.

  1. Returns policy & process

  2. Return authorisation & communication

  3. Returns inspection & grading

  4. Restocking, refurbishment & disposal

  5. Returns analysis & prevention

What you'll have at the end. Results you can check.

  • Written returns rules, agreed with shop, customer service and warehouse.
  • A process from return request to refund, with fixed processing times.
  • Inspection criteria that decide whether each return is restocked, refurbished or disposed of.
  • An analysis of return reasons by product, channel and cause.
  • An action list against avoidable returns, with owner and deadline.

When you need this. And how you'll know.

  • Returns pile up in the warehouse, and nobody knows what can be sold again.
  • Your customers are waiting for refunds and chasing customer service.
  • Your return rate is rising, and you don't know why.
  • Returned goods are written off, although they could be refurbished.
  • A marketplace sets fixed deadlines for returns, and your process misses them.

Rarely alone. Never bundled.

Good questions. Straight answers.

Can returns stay in our own warehouse?

Yes. We then design the rules and process, train your warehouse team on the inspection criteria and analyse the reasons. You only need a partner warehouse if you're short of space or people.

Will you lower our return rate?

We can't guarantee that. Whether customers send something back is their decision.

We find the avoidable reasons, such as wrong size information, unclear descriptions or weak packaging, and put measures in place. The analysis shows whether they work.

Will this fit our shop system?

Usually, yes. We set up the returns portal, labels and status messages with our e-commerce specialists. The refund stays in your shop and your accounting; we just trigger it.

Are repairs and warranty claims included?

Not directly. Repairs, replacements and warranty run through after-sales service. But the two mesh: what arrives as a return can be a warranty case, and vice versa.

Proof first. Contract second.

In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.

No obligation. And if we're not the right fit, we'll tell you.
