Contract Administration
Contracts renew themselves. Cancellations don't.
Recording contracts centrally, monitoring deadlines and obligations and preparing decisions on renewal or termination. The result is a complete contract register and decisions prepared in good time for every deadline; legal review is done by law firms.
Usual
What you often get
Contracts sit in folders, inboxes and drawers, and every department keeps its own. One person knows the notice periods, or nobody does. So the expensive framework agreement quietly renews, and accounting is the first to notice the price increase.
IntoOps
What you get from us
No contract stays in a drawer. Before each deadline, a decision paper lands with the person who decides: renew, renegotiate or cancel.
For supply contracts, our supplier management renegotiates directly.
Service components
4 components. Where a licence is required, we coordinate.
Marked components require a licence, so they always come as part of a wider engagement. Licensed partners carry them out; we appoint them on your behalf and coordinate.
-
Central record of all contracts with key data.
-
Reminders for notice periods, renewals and price adjustments.
-
Tracking agreed duties such as reports, audits or volumes.
-
Preparing contracts for review and tracking lawyers' feedback.
Note: Legal advice and the drafting and review of contracts are handled by law firms. We appoint them on your behalf and coordinate.
What you'll have at the end. Results you can check.
- A register of all contracts with term, notice period, cost and storage location.
- Reminders with enough lead time to negotiate before every notice period.
- An overview of what you owe under your contracts and what you're owed, with dates.
- An approval route for new contracts: who reviews, who signs, where it's filed.
- A quarterly report on upcoming deadlines, contract costs and contracts nobody uses any more.
When you need this. And how you'll know.
- A contract has renewed that nobody actually wanted any more.
- For an audit or a company sale, you need every contract at short notice.
- Every department signs its own contracts, and nobody has an overview of costs and deadlines.
- You've acquired or set up a company and don't know its contracts yet.
- Contractual obligations, such as reports or minimum volumes, only surface when someone sends a reminder.
Rarely alone. Never bundled.
Contract Administration often works together with these services. We'll tell you honestly when a combination makes sense, and when it doesn't.
Shows up in these initiatives.
You don't need a whole initiative to get Contract Administration. These examples show where the service is often needed.
Good questions. Straight answers.
Do you review our contracts legally?
No. Only a law firm may do that. We prepare the contracts for it, summarise the open questions and follow up until the answer is in.
Will you work with our legal department?
Yes. Content and approvals stay with your legal department; we take over the register, deadlines and follow-up. That leaves more time there for questions that need legal expertise.
Do you also record our existing contracts?
Yes. It starts with a stocktake: collecting contracts, recording key data, flagging gaps. If a signed copy is missing, we request it from the other party and file it by the rules from document management.
Will you cancel contracts for us?
Yes, but only once you approve. The decision stays with you. We make sure you can decide in time, with cost, usage and alternatives on the table.
Proof first. Contract second.
In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.
No obligation. And if we're not the right fit, we'll tell you.
