Executive & Management Support

Not everything on the CEO's desk needs the CEO.

Supporting executives in organising their work, remotely or on site, within agreed tasks and confidentiality rules. The result is organised calendars, prepared meetings and handled correspondence.

Usual

What you often get

An assistant position that stays vacant for months, or a virtual assistant who books meetings and knows nothing else. The managing director prepares board meetings in the evening. And the minutes are taken by whoever said least in the meeting.

IntoOps

What you get from us

An assistant from our team who knows your priorities, boards and habits. We agree tasks, access and cover in writing beforehand.

If what's missing is a whole leadership role rather than organisation, our interim management steps in.

Service components

4 components. Each one available on its own.

  1. Calendar & correspondence

  2. Meeting & board preparation

  3. Travel & event logistics

  4. Executive projects support

What you'll have at the end. Results you can check.

  • A managed calendar with rules for priorities, buffers and which meetings get declined.
  • A sorted inbox with rules on what gets answered, forwarded or escalated.
  • Meeting papers that arrive in time, and minutes with tasks, owners and deadlines.
  • Travel booked to your preferences, with all documents in one place.
  • Decision papers with research, figures and options, ready for your next meeting.

When you need this. And how you'll know.

  • You spend every evening on emails, meetings and travel bookings.
  • Your advisory or supervisory board wants papers, and the preparation always lands on you.
  • An assistant role is hard to fill, or doesn't yet justify a full position.
  • Your assistant is off for a long time, and organisation collapses.
  • A special project needs research and coordination, but nobody in the team has capacity.

Rarely alone. Never bundled.

Good questions. Straight answers.

Will the assistant work in our office?

Partly. Much of it runs remotely: calendar, inbox, travel. For board meetings or fixed office days, the assistant comes to you.

If it's more about reception and day-to-day office life, office management is the better fit.

Is confidentiality covered?

Yes, in writing and before the start. We agree who sees which information and where documents are kept. What the assistant sees stays with them, including within your company.

Can several managers share the assistant?

Yes. We then define who assigns tasks and what takes priority. Otherwise whoever asked last wins.

Does this work with just a few hours a week?

Yes. Calendar and inbox are a good way in. Meetings, travel and special projects can follow if it makes sense, or not at all.

Proof first. Contract second.

In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.

No obligation. And if we're not the right fit, we'll tell you.
