Office Management

Office management isn't a side job. But it often is.

Taking over the organisation of day-to-day office operations to agreed standards. The result is a functioning office with defined routines and responsibilities.

Usual

What you often get

The office gets organised by whoever sits closest to the coffee machine. Things are ordered once they run out, and visitors wait until someone hears the bell. When the person in charge leaves, nobody knows where the keys are.

IntoOps

What you get from us

Fixed routines instead of shouting across the room: who orders, who receives visitors, who looks after post and rooms. We agree the standards with you and put them in writing.

For space and workplaces, our workplace management specialists take over.

Service components

4 components. Each one available on its own.

  1. Office organisation

  2. Reception & visitor management

  3. Office supplies & equipment

  4. Internal mail & courier

What you'll have at the end. Results you can check.

  • An office handbook with routines, responsibilities and contacts for every recurring task.
  • A process for visitors, calls and deliveries that works even when someone is away.
  • An ordering process for supplies and small equipment, with minimum stock levels and a budget.
  • Fixed arrangements with cleaning, courier services and other providers in the building.

When you need this. And how you'll know.

  • Running the office depends on one person who's actually meant to do something else.
  • A new site opens soon, and reception and routines need to work from day one.
  • Supplies keep running out, and orders go through private credit cards.
  • Your team has grown, but the office still runs as it did at the start.
  • Hybrid working has changed the office, but the routines have stayed the same.

Rarely alone. Never bundled.

Good questions. Straight answers.

Will someone from your team sit at our reception?

Yes, if the engagement requires it. We agree what happens at reception as a standard. Who sits there and who covers is organised by us, and day-to-day arrangements go through our named contact.

Do you also set up a new office?

Yes, on the organisational side. Routines, reception, supplies and service providers are in place before the team moves in. Search, fit-out and the move are handled by our real estate & facility management specialists.

Can we hand over just buying office supplies?

Yes. Every component is available on its own, including supplies and equipment. Then one place orders in bundles, and the invoices reach accounting in order.

Does a small office need this much organising?

No. But it needs a fixed routine, otherwise organising falls to management or the team. The scope adapts, from a few fixed days to daily presence.

Proof first. Contract second.

In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.

No obligation. And if we're not the right fit, we'll tell you.
