Workplace Management
Half the desks sit empty. Yet nobody finds a seat.
Aligning workplaces with how people actually work, measuring use and introducing suitable rules and tools. The result is a workplace concept in use and documented utilisation data.
Usual
What you often get
A consultancy recommends desk sharing, a furniture store delivers lounge corners, IT introduces a booking tool. Tuesdays are packed, Fridays empty. And nobody has measured how the office is actually used.
IntoOps
What you get from us
First we measure how the space is used and ask teams why they come in. That produces rules, zones and tools that fit together. Then we set up the booking system, support the new rules and manage any refurbishment through site projects & fit-out.
Service components
4 components. Where a licence is required, we coordinate.
Marked components require a licence, so they always come as part of a wider engagement. Licensed partners carry them out; we appoint them on your behalf and coordinate.
-
Concept for office, home and mobile work.
-
Measuring occupancy and adjusting space to demand.
-
Desk and room booking with clear usage rules.
-
Coordinating occupational safety specialists and occupational health services.
Note: Occupational safety and occupational health services are provided by qualified specialists. We appoint them on your behalf and coordinate.
What you'll have at the end. Results you can check.
- Occupancy data per area and weekday, measured rather than estimated.
- A workplace concept with zones, desk ratio and rules for hybrid working.
- A booking system set up, with rollout and instructions for your team.
- A space balance: which areas you need and which you can give up.
- Organised occupational safety and occupational health services with documented appointments.
When you need this. And how you'll know.
- A lease renewal is due, and it's unclear how much space your team needs.
- People avoid the office because they work better at home.
- Two teams or sites are merging, and on paper the space isn't enough.
- The office risk assessment is older than the current floor layout.
Rarely alone. Never bundled.
Workplace Management often works together with these services. We'll tell you honestly when a combination makes sense, and when it doesn't.
Shows up in these initiatives.
You don't need a whole initiative to get Workplace Management. These examples show where the service is often needed.
Good questions. Straight answers.
Do you decide how often the team comes in?
No, you decide that. We provide the basis: usage data, feedback from the teams and options with their effects on space and cost.
We draft the rules with you and, where there is one, with the works council.
Do you take care of occupational safety?
No. Occupational safety and occupational health services are provided by qualified specialists we appoint on your behalf.
We coordinate inspections, briefings and appointments and keep the records up to date. The employer's duties remain with your company.
Do you bring your own booking tool?
No. We choose a system with you that fits your size, IT and way of working, and set it up. Sometimes software you already have can do the job.
Does anyone look after bookings and rules afterwards?
Yes, on request. Our office management team handles the day-to-day bookings, questions and small adjustments. Or your own team does, with our instructions.
Proof first. Contract second.
In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.
No obligation. And if we're not the right fit, we'll tell you.
