Local Business Administration
Authorities write on paper. In German.
Acting as the local administrative contact for an entity, handling mail, authority contacts and recurring obligations. The result is a documented obligations calendar with timely reminders and processed correspondence.
Usual
What you often get
An address with a business centre that scans the post once a week. Nobody decides what matters. When the tax office sets a deadline, the letter sits in the inbox of someone asleep in another time zone.
IntoOps
What you get from us
Someone on the ground doesn't just scan the post but sorts it. What can be dealt with gets dealt with, invoices go to accounting, and only decisions land with you.
Every recurring obligation is in the calendar, with a date and an owner. And whoever calls reaches someone who knows your company.
Service components
5 components. Where a licence is required, we coordinate.
Marked components require a licence, so they always come as part of a wider engagement. Licensed partners carry them out; we appoint them on your behalf and coordinate.
-
Business address, mail receipt, scanning and forwarding, with short English summaries on request.
-
Handling enquiries and notifications from authorities and chambers.
-
Tracking recurring filings, renewals and deadlines.
-
Preparing shareholder resolutions and register updates; legal parts by lawyers and notaries.
Note: Legal advice and the drafting and review of contracts are handled by law firms. We appoint them on your behalf and coordinate.
Notarisations and register filings are handled by a notary. We appoint them on your behalf and coordinate.
-
Named contact for banks, landlords and local service providers.
What you'll have at the end. Results you can check.
- Sorted post: every letter logged, assessed and passed on to the right place.
- A calendar of all recurring obligations, with date, document and responsible party.
- Replies to authorities and chambers, agreed with you or your tax adviser.
- Draft resolutions and documents for register changes, ready for the law firm and notary.
- A monthly overview of incoming items, completed tasks and the next due dates.
When you need this. And how you'll know.
- Your German company has no office team, but authorities and banks already write to it.
- Important letters only reach management when the deadline has almost passed.
- Nobody on the team knows the obligations towards the register court, chamber and transparency register.
- Banks and local service providers ask for a contact on the ground.
Rarely alone. Never bundled.
Local Business Administration often works together with these services. We'll tell you honestly when a combination makes sense, and when it doesn't.
Shows up in these initiatives.
You don't need a whole initiative to get Local Business Administration. These examples show where the service is often needed.
- Project We want to start in Germany.
- Project We need our own company on the ground.
Good questions. Straight answers.
Is this more than forwarding our post?
Yes. An address alone doesn't fulfil any obligation. We process the post, keep track of deadlines and are available to authorities and banks.
If the company doesn't exist yet, company formation comes first.
Do you take care of shareholder resolutions?
Yes, as preparation. We collect the details, coordinate dates and obtain signatures. Drafting and notarisation are handled by a law firm and a notary, whom we appoint on your behalf.
Will you work directly with our tax adviser?
Yes. Tax letters go straight to your tax adviser, and we supply whatever they request. That keeps them in the loop, and you don't have to act as go-between.
Can you explain the post to us in English?
Yes. For every important letter, you get a short summary in English: what it's about, the deadline and who's responsible. Tax content is assessed by your tax adviser.
Proof first. Contract second.
In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.
No obligation. And if we're not the right fit, we'll tell you.
