Order Management

Shipped isn't done. Paid is.

Recording, checking and steering orders through fulfilment and billing and handling exceptions. The result is orders processed on time with documented status.

Usual

What you often get

A back-office provider keys in orders as instructed, without asking questions. Exceptions land back with you: missing stock, changed dates, cancellations. And between order and invoice there's a gap nobody feels responsible for.

IntoOps

What you get from us

With us, exceptions are part of the job instead of being sent back to you. Because fulfilment, customer service and accounting work together with us, processing doesn't stop at the delivery note. And whatever keeps repeating, our process automation specialists automate.

Service components

4 components. Each one available on its own.

  1. Order entry & processing

  2. Multi-channel order orchestration

  3. Exceptions & backorders

  4. Order-to-cash coordination

What you'll have at the end. Results you can check.

  • A documented order process with checks for prices, credit limits and delivery dates.
  • A daily status overview of all open orders across every channel.
  • Rules for part deliveries, substitutes and cancellations, agreed with sales and customer service.
  • A checked handover to invoicing with a list of open queries.
  • KPIs for lead time, error rate and backlog, reported regularly.

When you need this. And how you'll know.

  • Orders are typed into the system by hand from emails and PDFs.
  • Your customers ask about delivery status, and nobody can answer straight away.
  • You sell via shop, marketplaces and field sales, each with its own process.
  • Goods go out, but invoices lag behind or don't match the order.
  • Your sales back office is overloaded, and new hires take ages to work confidently.

Rarely alone. Never bundled.

Good questions. Straight answers.

Do you enter orders directly in our ERP?

Yes. We work in your system and follow your rules for prices, discounts and approvals. Where rules are missing, we write them down with you before we start.

Do you also answer our customers' questions?

Yes, as long as they're about the order: status, delivery date, changes. For anything beyond that, we work with our customer support specialists.

Can order processing be fully automated?

Rarely all of it. Standard orders from a shop or EDI often run through without manual work. The exceptions remain, and they need clear rules and people who apply them.

Is it enough to hand over only the exceptions?

Yes. Your team keeps entering orders, and we sort out everything that doesn't run smoothly. That often frees up more time than the entry itself, because exceptions eat most of it.

Does this help with a short-term order backlog?

Yes. We take on clearly defined work until the backlog is cleared, and fix the processes that caused it along the way. Then you decide whether we stay.

Proof first. Contract second.

In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.

No obligation. And if we're not the right fit, we'll tell you.
