Property & Lease Administration
Service charge statements rarely get checked. That's why checking pays.
Administering rented and owned business premises and their leases, and controlling real estate costs. The result is complete lease data, checked service charge statements and transparent real estate costs.
Usual
What you often get
Leases sit as PDFs in different folders, the deadlines in a calendar that one person maintains. Service charge statements get paid because checking them seems like too much work. No report shows what the space costs in total.
IntoOps
What you get from us
All leases with deadlines, options and indexation in one overview that doesn't depend on one person. We check every service charge statement against the lease, the receipts and the previous year. And real estate costs flow into controlling for each site.
Service components
4 components. Each one available on its own.
-
Deadlines, options, indexation and rent payments for leased space.
-
Tenant matters, rent collection and property accounts for business premises the company owns.
-
Preparing and checking service charge statements.
-
Budget, costs and benchmarks per site.
What you'll have at the end. Results you can check.
- A complete lease register with a deadline calendar and timely reminders.
- Checked service charge statements with documented discrepancies and receipts.
- A cost report per site that brings rent, service charges and maintenance together.
- For commercial property you own: up-to-date rent accounts and clean property accounting.
- A decision paper for every expiring option: renew, renegotiate or terminate.
When you need this. And how you'll know.
- A notice period has passed, and the lease has been extended by years.
- The service charge statement brings a back payment you can't explain.
- You have several sites but no overview of what each one costs.
- Only one person knows the leases, and they're retiring soon.
Rarely alone. Never bundled.
Property & Lease Administration often works together with these services. We'll tell you honestly when a combination makes sense, and when it doesn't.
Shows up in these initiatives.
You don't need a whole initiative to get Property & Lease Administration. These examples show where the service is often needed.
- Problem Our costs are too high.
Good questions. Straight answers.
Do you also manage commercial property we own?
Yes. For commercial space your company owns, we handle the commercial administration: leases, rent receipts, service charges and property accounting.
Tax matters stay with your tax adviser, who gets organised documents from us. We don't manage residential property.
Can you check a single service charge statement?
Yes. We check it against the lease, the receipts and the previous year. You get the discrepancies with reasons.
Whether you object is your decision. If it turns into a legal dispute, a law firm takes over, appointed by us on your behalf.
Do you replace our property manager?
Not necessarily. Often we complement them: we check what they bill and keep an eye on deadlines and costs. If you want to switch, we prepare the handover.
Do you also administer our other contracts?
Yes, through contract administration. Leases sit here because deadlines, indexation and service charges need their own work. Both run on a shared deadline calendar.
Proof first. Contract second.
In the free Initiative Check, we listen for 45 minutes and ask the questions that usually only come up after the contract is signed. Then you get a short written assessment: what we see, how we would go about it and roughly what it would take.
No obligation. And if we're not the right fit, we'll tell you.
